Position Overview

The Inventory Specialist supports inventory operations by managing incoming shipments, updating records, coordinating with internal teams, and ensuring accurate reporting. This role works closely with the Purchasing Administrator, Warehouse Manager, and Back Office staff to maintain effective inventory control and product flow.

Role Expectations

• Book incoming shipments via sea freight, air freight, and local suppliers using MIGO transaction in SAP.
• Create and coordinate documentation for intercompany shipments, including samples and non-stock materials.
• Review packing lists (air freight and sea freight) to allocate products for backorders; update the backorder and future action logs.
• Maintain accurate delivery dates on all inventory-related logs.
• Generate and distribute the weekly inventory report.
• Track and follow up on deliveries with shipping companies (AF, SF, and DHL).
• Provide backup support to the Purchasing Administrator, including:
• Reviewing and executing purchase orders for daily backorders.
• Handling tasks such as transfer price requests, checking stock at headquarters, status updates, and new code requests.
• Work with inside and outside sales teams to manage virtual warehouses, including inventory transfers, shipments, and cycle counts.
• Manage demo tool and loan agreements using the Pro-Forma tool, post activity in SAP.

Core Competencies

• At least 3 years of inventory management experience preferred.
• Experience using SAP is required.
• Proficiency with Microsoft Excel, including charts, pivot tables, lookups, and formulas.
• High attention to detail with the ability to manage multiple tasks simultaneously.
• Strong organizational and problem-solving skills; able to meet deadlines and follow through on assignments.
• Effective verbal and written communication skills; comfortable working with colleagues across departments and management levels.
• Reliable, eager to learn, and willing to take on new responsibilities.
• Familiarity with a barcoded warehouse environment is a plus.

Physical Requirements

• Ability to sit for extended periods.
• Occasional lifting of files, inventory samples, or boxes (up to 25 lbs).
• Periodic movement within warehouse areas to access inventory or collaborate with operations teams.
